Track email opens and clicks

Leave the tracking checkbox on when you start a campaign. Later, click Refresh Email Status in the sidebar: the Mail Merge cell of each recipient changes from EMAIL_SENT to EMAIL_OPENED or EMAIL_CLICKED, and the cell note shows when it happened. Replies, bounces and unsubscribes are not tracked in the current version.

How do I turn tracking on?

On the 2. Campaign Options tab of Start New Campaign, the checkbox Track emails opened, clicked… is on by default. Tracking is available on every plan, including the free plan. Clear the checkbox to send a campaign without tracking.

The checkbox label also mentions bounces and unsubscribes, but the current version records only opens and clicks.

How does open and click tracking work?

  • Opens: each email gets an invisible 1×1 image. When the recipient’s email app loads it, an open is recorded.
  • Clicks: links in the email are rewritten to pass through api.docgpt.ai/mail-merge/track, which records the click and sends the reader on to the original address.
  • The events (recipient address, time and the clicked link) are stored by docgpt.ai so the add-on can show them. See the privacy policy.
  • Test emails are not tracked.

How do I see who opened or clicked?

  1. Open the sheet and the tab you sent from.
  2. Go to Extensions → Mail Merge for Sheets™ Gmail™ → 🚀 Launch to open the sidebar.
  3. Click 🔄 Refresh Email Status.
  4. Point at a Mail Merge cell to read its note. For example:
Sent: Nov 05, 2026 10:15:02
Opened: Nov 05, 2026 11:02:40
Clicked: Nov 05, 2026 11:03:12
Redirect: https://example.com/pricing

Statuses don’t update on their own. Click Refresh Email Status whenever you want the latest data.

Running the campaign again? Click Refresh Email Status first. When you start the campaign again on the same tab (for example to send the rest of a list the next day), the add-on starts a new tracking campaign, and from then on Refresh Email Status only updates the rows sent in the latest launch. Statuses already written in the sheet stay as they are.

📊 Open Campaign Report shows the campaign’s status, sent and scheduled times, counters such as recipients, delivered, opened and clicked, and a list of email activity. The report also has Bounced, Responded and Unsubscribed counters, but the current version doesn’t fill them.

How accurate are open counts?

Treat opens as approximate:

  • Images blocked. If the recipient’s email app doesn’t load images, a real open is not recorded.
  • Apple Mail Privacy Protection. Apple Mail can load images in the background, so an open may be recorded even if the person never read the email.
  • Bots and security scanners can load images too. The tracking service filters some bot opens, but not all.

Clicks are usually a more reliable signal than opens, because someone followed a link.

What does each status mean?

Status in the Mail Merge column Meaning Sent again when you run the campaign again?
(empty) Not sent yet. Yes
EMAIL_SENT Sent. The note shows the time. No
EMAIL_OPENED Sent and opened (after Refresh Email Status). No
EMAIL_CLICKED Sent and a link was clicked (after Refresh Email Status). No
SKIP You typed SKIP to leave this row out. No
Error: … Sending failed for this row, for example Error: Invalid email: …. Yes. Fix the row first.
GMAIL_QUOTA_EXCEEDED_TRY_AFTER_12AM_PACIFIC_TIME Google’s daily sending limit was reached before this row. Yes
CLICK_GO_PREMIUM__NO_CREDITS_LEFT Your free emails ran out before this row. Yes, once you have a paid plan
EMAIL_REPLIED, EMAIL_BOUNCED, EMAIL_UNSUBSCRIBED Reserved. The current version doesn’t set them, but you can type them yourself. No

Type statuses in capital letters, exactly as shown. A row with no email address is ignored.

Replies, bounces and unsubscribes

The current version does not track replies, bounces or unsubscribes, and it does not add an unsubscribe link. Check them in Gmail instead:

  • Replies arrive in your Gmail inbox, or at the Reply-to Email if you set one. Search Gmail for the subject of your draft to find them. Every email the add-on sends is in your Sent folder.
  • Bounces arrive in your inbox as messages from Mail Delivery Subsystem. Search Gmail for from:mailer-daemon to list them.
  • Unsubscribes: if you want to give people a way to opt out, add a line to your draft, for example “Reply ‘unsubscribe’ and I’ll remove you from this list.”

Then record the result in the sheet so the next run skips those people. Type EMAIL_REPLIED, EMAIL_BOUNCED, EMAIL_UNSUBSCRIBED or SKIP in their Mail Merge cell, or delete the row.
